Privacy Policy
Written in plain English — because policy language shouldn't require a law degree. You deserve to know exactly what happens with your information and why.
Who We Are and Why This Page Exists
This is the privacy policy for Tangerine Insurance, located at 3389 Steeles Ave E, Toronto, M2H 3S8. We're an insurance brokerage — which means we handle sensitive personal and business information as part of our day-to-day work. We take that seriously, and we want you to understand exactly what we collect, why, and what happens to it.
Tangerine Insurance is a trade name of Tangerine Bank, a wholly-owned subsidiary of The Bank of Nova Scotia and a CDIC member in its own right. Our RIBO registration number is RIBO-0041587.
What We Collect
When you contact us — by phone, email, or through the form on our website — we collect your name, email address, phone number, and whatever details you share about your business and insurance needs.
If you become a client, we'll also collect business financial information, claims history, employee counts, vehicle registrations, property details, and other information needed to place and manage your coverage. We collect this because insurance underwriting requires it — carriers need specific data to quote and bind policies.
Think of it this way: we can't shop your coverage across 20+ carriers without sharing relevant details about your operation. The more accurate the information, the better the coverage match and the more competitive the premium.
How We Use Your Information
We use your information to: provide insurance quotes, place and manage policies, process claims, issue certificates of insurance, conduct annual coverage reviews, and communicate with you about your account.
We also use aggregate (non-identifiable) data to improve our services — things like average claims resolution times, common coverage gaps by industry, and certificate issuance turnaround metrics. None of this is tied to you personally.
We don't use your data for marketing purposes beyond our direct relationship with you. You won't get newsletters you didn't ask for, and we won't sell your contact information to anyone. Ever.
Who Sees Your Information
We share your information with insurance carriers and underwriters as needed to place and service your policies. This is inherent to how insurance brokerage works — we can't get you a quote without sharing relevant details with the insurer.
Our underwriting partners include Aviva Canada, Intact Insurance, Definity (Economical), Wawanesa, Northbridge Insurance, Chubb, and other licensed Canadian carriers. When we submit your information to a carrier, it's for the specific purpose of obtaining or servicing your coverage.
We may also share information with claims adjusters, legal counsel (when a claim requires it), and regulatory bodies (RIBO, FSRA) when required by law.
We don't sell your information to third parties. Full stop.
Cookies and Website Tracking
Our website uses a small number of cookies: essential cookies that make the site function (session management, cookie consent preference), and optional analytics cookies that help us understand which pages people visit and how long they stay.
The analytics cookies are only set if you click "Accept" on our cookie notice. If you decline, we don't track you — and the site works exactly the same either way. There's no penalty for saying no, and you won't see a passive-aggressive pop-up asking you to reconsider.
Here's why that matters: some sites make declining cookies feel like you're breaking something. Ours works fine without them. The analytics data just helps us figure out whether anyone actually reads pages like this one. (If you've made it this far — thank you.)
Your Rights
You can ask us what personal information we hold about you, request corrections, or ask us to delete your data. We're happy to do any of these — just contact us.
One important caveat: RIBO requires us to maintain client records for a minimum retention period after the policy relationship ends. So if you ask us to delete everything, we may need to keep certain records for regulatory compliance. We'll tell you exactly what we're required to retain and why.
Contact us at contact@tangerine-insurance.com or (416) 555-0100 to make any of these requests.
How We Protect Your Data
Client files are stored in encrypted, access-controlled systems. Our team accesses client data on a need-to-know basis — your commercial lines broker can see your commercial files, but not someone else's personal lines portfolio.
Physical files (yes, Dimitri still has a few) are kept in locked cabinets in our Steeles Avenue office. We conduct annual security reviews of our systems and vendors.
We use industry-standard encryption for data in transit and at rest. Our email systems support TLS, and sensitive documents are shared through secure portals rather than email attachments when possible.
Data Retention
We retain active client records for the duration of the brokerage relationship and for a minimum of seven years after the relationship ends, as required by RIBO and provincial regulatory standards.
Website analytics data is retained for 26 months and then automatically purged. Cookie consent preferences are stored in your browser's local storage and persist until you clear your browser data.
Changes to This Policy
If we make meaningful changes, we'll update this page and note the date at the top. We won't send you a 47-page legal update — we'll explain what changed and why in plain language.
If a change materially affects how we handle your data, we'll make a reasonable effort to notify active clients directly. "Reasonable effort" means an email or a phone call — not a footnote buried in a renewal notice.
Contact
Questions? Concerns? Complaints? We'd genuinely rather hear about a problem from you directly than through a regulator.
